Quoting now in Xero

Kelly Migro - Thursday, January 22, 2015

The latest release of Xero now has quotes! In the past if you wanted to do a quote you had to create a Draft Sales Invoice and set up an invoice template for quotes so that it would print with the word "Quote" on it.  So now along with Purchase Orders, Quotes can be created, sent and managed direct within Xero.

Once a quote has been created and accepted by the client, with a couple of clicks it can be turned into an invoice, so no rekeying of information onto the invoice.

Quotes can be accessed from the Sales Dashboard. Xero is still working on refining the quoting system even more so that in the future the customer will be able to view and accept the quote online. You can read more on the release from the Xero Blog.

Xero Training & Support - Perth Based

Kelly Migro - Saturday, December 07, 2013

Xero is a great accounting software, however the information that is entered will only be as good as the person entering it!

It's important to make sure that you fully know how to use Xero, whether you have used another accounting software like MYOB and have converted to Xero or are using an accounting software for the first time make sure you know how to use it first.

It won't necessarily cost you a lot of money to get training, and if you know how to enter data into Xero correctly then it will save the costs which are incurred in having someone come and fix your transactions at a later date.

My first  place for training which I refer my clients to is the FREE (my favourite word and I'm sure yours too!) online Xero customer training. These are in the form of live webinars where you can ask questions directly and which are answered on the spot, or a recorded video which can be watched any time.  The Xero Customer Training covers Setting up your business on Xero, Setting up Xero Payroll and more.

Once you have done these training because they are a general training with an overview of Xero I can do a one on one training with you where we use your live Xero and enter in actual transactions specific for your business. Things that can be covered include:
  • Entering invoices
  • Emailing invoices & customer statements
  • Setting up Payroll
  • Preparing a Payrun
  • Bank Reconciliation
  • Fixed Asset Register
  • and more....
Training can be initially when you set up Xero, or on an ongoing basis, and can be based from your office or online using screen sharing.  You might have Xero setup and maintaining your accounts yourself but as the year goes on you encounter new scenarios and need help on how to do this.

You may also just need some Support for a specific issue or transaction that you are trying to record in Xero.  The first place you should always visit is the Xero Business Help Centre, this is constantly updated by Xero when there are new releases and has step by step instructions on how to process within Xero including videos.

Alternatively you can contact me at e-accountant where I can put you onto a monthly support plan to help with regular queries or can help you with one off queries. Or even contact your own regular Tax Accountant. The charge of half an hour and making sure it is done right will be a lot better than the charge of 3 + hours of myself or your accountant trying to fix any mistakes because you didn't ask for help!

End of Financial Year (EOFY) - Payroll

Kelly Migro - Wednesday, June 26, 2013
It's the Australian End of Financial Year (EOFY) on Sunday, which means you need to prepare Employee Payment Summaries, or as most people call them still Group Certificates.

If you are using Xero then preparing payment summaries and the EMPDUPE file to upload to the ATO is easy, check out the video below which Xero has made giving you the instructions.  Just make sure that your payroll reconciles with your accounts first, and we can help you with that.

If you are manually preparing Payment Summaries contact us, and we can help set you up with Xero for the coming financial year so that next year is easy.

Xero Setup & Training

Kelly Migro - Wednesday, June 12, 2013

As we are drawing to the close of the 2013 financial year, before the year end it is a good time to look at planning for the 2014 financial year.  One of the biggest things that a small business owner will be thinking about is how their bookkeeping was done this year and how far behind they are, and that they want to be on top of things for the next financial year.

It is this time of year which is the best time to look at using a new accounting system, and we recommend using Xero. Whether you were using Microsoft Excel or MYOB to maintain this years accounts, we can help to setup Xero and convert your existing account balances and transactions across.

If you have heard about Xero and want to know more about it and how it can help you to manage your business contact us and we can get together for a free no obligation "Coffee & Chat" to discuss how Xero works and how it can make your bookkeeping easier.

Check out our Xero Setup & Training Prices to get you up and running and also our Monthly Pricing Plans which include your monthly Xero subscription and take all the hassle out of doing your books yourself.

Converting from MYOB to XERO

Kelly Migro - Saturday, February 18, 2012

Are you using MYOB and want to move to the cloud with Xero? There are a lot of factors to consider with converting from MYOB to Xero:

  1. What date are you going to convert from? - you can't pick a random date, you have to think about BAS returns
  2. Do you want to keep your existing MYOB chart of accounts (account codes) or is this now the time to start fresh with how you have always wanted them to be?
  3. Do you have unpaid creditor (accounts payable) invoices which were entered in MYOB? These need to be entered into Xero too so that they can be paid.
  4. Do you have unpaid debtor (accounts receivable) invoices? These need to be entered into Xero as well.
  5. Are all of your bank accounts reconciled? and can you start bank feeds from the same date as your conversion date?
these are only a few things that need to be considered, there are many more as well.  As you can see you can end up spending a lot of time which is spent with any software converting from one to another.   Just remember the long term benefits of switching to Xero will outweigh these short term costs.

To make sure that your Xero file is set up correctly e-accountant can do the work for you, for a flat fee have a look at our Xero Setup and Training Prices.

If you are using payroll in MYOB ask us to quote on converting your payroll over to Xero as well.

Xero Online Accounting Software and the Mining Industry

Kelly Migro - Saturday, January 28, 2012

I have worked directly as a financial accountant for various mining and exploration companies for over 10 years, if you are interested in which companies I have worked for check out my linkedIn profile.  These have covered various stages of a mines life from exploration, feasibility, mine development, production and care & maintenance.

Most junior explorers when looking for an accounting package they look for something simple, cheap and what most bookkeepers know how to use which is MYOB.  Whilst MYOB can do the job of entering invoices, raising payments, payroll and reporting it doesn't make life easy. Reports aren't easily customisable which results in data exported to excel and reports prepared manually which is time consuming.  The most important requirement for exploration and mining companies is tenement expenditure reporting to the Department of Mines and as anniversary periods do not run a financial year calendar then in MYOB you need to run two reports and combine them externally in excel.  Another problem that I have encountered is that job costing codes can be used to track tenement expenditure but if you also want to track expenditure to various projects then you have to enable and use categories, which only one category can be used per invoice and can mean one invoice has to be entered as multiple invoices if coded to various categories.

Through specialising in cloud based accounting software I have found that Xero is perfect for junior explorers.  Reasons for it working so well is:

  • Allows for your own coding structure to be setup, no set numbering structure. However many digits or characters you want to use.
  • Expenditure accounts can be classified as either Overheads, Direct Costs and Expenses.  This allows for Corporate expense account to be "Overheads" and exploration expense accounts to be "Expenses".
  • Reports can be customised easily
  • Annual Tenement Expenditure reports (Form 5) can be generated for the full year from the start of the anniversary to the end
  • Xero allows for two tracking codes to be set up, allowing for Project and Tenement
  • One invoice can be entered against various Projects and Tenements
  • Line items for an invoice need to be entered as a unit, which means that instead of entering as 1, if an invoice is to be split against multiple tenements then it can be done as a percentage without having to work out the amounts manually.
  • Reporting on tracking codes is easy, and soon budgets will be able to be entered into Xero against tracking codes which will increase the reporting capabilities.
  • Xero can grow with your business which MYOB cannot, with an ever evolving array of API partners so that additional software can be integrated with Xero automatically.
  • As the company grows and the number of staff grows, new users can be added to Xero for data entry, reporting or approving of invoices at no extra cost.  It can also be accessed from anywhere in the world with an internet connection so even out in the field if need be.

Whether you are wanting to stay with MYOB, make the switch to Xero or setup your new company on Xero, E-Accountant Pty Ltd knows the reporting requirements for Exploration and how important it is to get Tenement Expenditure Reports like Form 5's lodged on time. Contact us for more information as to how we can implement Xero for you.

Creating custom invoices in Xero

Kelly Migro - Monday, October 24, 2011

If you have access within Xero to customise how your customer invoices, credit notes and statements look. You can change the standard theme which is created by Xero as a default or create a new theme, alternatively you can create you own custom .docx themes by changing fonts, colour and the placement of fields.

Check out our video below or contact us and we can set up your invoice templates or teach you how to.
