How to use a USB barcode scanner with your iPad and Vend POS

As Vend POS will work on an iPad I have been wondering how you could use a bar code scanner with an iPad, there are Bluetooth barcode scanners but they can be pretty expensive and not 100% proven to work with the iPad and Vend POS.  @vendhq shared a post on twitter the other day of how to attach a USB barcode scanner to your iPad. 

If you are an iPad user you will know that there are no USB ports, Apple have released an iPad Camera Connection Kit which retails for AUD $35, this has two adaptors which plug into the dock connector port. One allows the memory card from your digital camera to be inserted to allow uploading of photo's the other has a USB interface.

Using the USB adaptor, you can then plug in a USB barcode scanner and scan away.  It can then be used for doing stock take throughout a store or great for a mobile business for scanning stock for sale.

So if you are thinking about setting up a POS system, you can now use Vend, your iPad and a USB scanner life is getting easier!

I think it is time to get an iPhone

Although I am apple everything, Macbook Pro, iMac, iPad and iPod Touch I've never wanted an iPhone I've always stuck with my BlackBerry.  The reason for this is internet data and BBM. I was always hearing horror stories of people getting huge phone bills from downloading too much data and I didn't want to pay more than what my mobile cap was, now with the mobile carriers offering larger and larger download limits per month and now that I am working in my own office where I can connect to wifi this is no longer an issue.

The second issue of BBM (BlackBerry Messenger) is now solved with the release of iOS 5 today, BBM is what has kept me using BlackBerry for so long, to be able to send messages to friends for free rather than a text message, and the ability to see if they have received it and if they have read it! So you always knew whether somebody was ignoring you, just busy or their phone wasn't working.

Apple has today released an update to the operating systems of iPhones and iPads which includes a new feature iMessage. iMessage allows you to send free messages over wifi or 3G to other iPhone and iPad users with iOS 5 installed.  You can set it up so that you get a delivery receipt, a read receipt and know when the other person is typing you a message back... aaah BBM no longer needed.  Plus with all the outages BlackBerry has been experiencing around the world for the last couple of days even more reason to switch.

Plus the release of iCloud I will be able to have my iPad and iPhone syncing together with my iMac and Macbook Pro, this is what I have been waiting for.

iCloud stores your music, photos, documents and more, and wirelessly pushes them to all your devices. Automatic, effortless and seamless — it just works.

So iCloud allows all of your data like your music and documents to sync across all of your apple devices with no effort.  It is free, unlike the old mobile me and you get 5GB of data storage.  5 GB is a lot more than you think, as anything downloaded through iTunes is not included in the 5GB.

Looking for a payroll software, which is fast and easy to use?

I first used paycycle because of the fact that xero didn't have payroll built into it and paycycle integrated with it, I now use paycycle because it is so easy and accurate to use.

I had a new client which had their accounts prepared in MYOB by their accountant as a "favour" who didn't understand bookkeeping and payroll, due to this they just relied on what MYOB prepared for the payroll based on what information they input.  Due to this the employees did not have any leave accruals calculated in the system nor details of their superannuation and to make matters worse the employees were being overtaxed.

Don't get me wrong MYOB payroll works and calculates payroll great, but if it isn't set up correctly then all sorts of errors can occur.  Which is why paycycle is the perfect small business payroll system for anybody.  Tax tables are always up to date, and you never have to worry about whether you have uploaded the latest ones or not.

The payrun cannot be processed until everything is set up correctly, and it can take 30-60minutes to set up a new business, then 15 minutes for each employee.  Once this is done the payrun can be processed weekly, fortnightly or monthly by scheduling the paycycle and clicking a few buttons.  The bank file will even be created, which means a simple import into the internet banking, click to email the payslips to the employees and you are done.

As paycycle integrates with xero all it takes is a click of a button and the transaction automatically occurs in xero, it can also be used side by side with MYOB or Quickbooks by importing a journal and is a much cheaper option than paying annual fees for tax tables updates.

The even better news about paycycle is the fact that xero has acquired it, which means it will soon be included within xero!

Are your files too large to email?

Dropbox has become my favourite tool for sharing files on the cloud.  Any files such as spreadsheets or word documents can be saved to the Dropbox and then accessed from any of your computers which has the Dropbox application installed or using the web browser and accessing from the secure DropBox website. Some of the uses I have found for Dropbox for myself personally and for clients include:

* For clients using MYOB, I upload a copy of the data file to Dropbox so that I can work on reports and answer any queries the client might have without the client having to wait until I am next in their office.

* Clients who don't have a regular backup system or secure offsite backup, I backup their data files to Dropbox ensuring there is a safe copy of their data file in case of the worse happening.

* For clients who do not require me to work from their office and I work from own, sharing folders are set up with the client with the MYOB data file saved in the shared Dropbox folder. This enables both myself and the client to have access to the same MYOB data file to both enter transactions and report on.

* I'm all for the paperless office and setting up a shared folder with a client enables them to put all of their electronic copies of invoices for processing which means no need to get paper copies from clients and no need to receive hundreds of emails with attachments.

* Once clients are using Dropbox they have found other uses such as having large files like catalogues or video's they need to send to customers, by placing files in the public folder they can then generate a weblink to those files instead of emailing.

For myself personally I love the ability of files syncing and being available on my computer at the office, my laptop whilst at a client or from my iPad.  No need for multiple versions of files being emailed back and forth, there is one true file and it is always backed up secure and accessible from anywhere in the world.

Best of all you can use Dropbox for free with 2GB worth of storage, if you need more than that then there are upgrade subscriptions.
